Welcome to Moksha Tour Planners. These Terms and Conditions govern your use of our services, including the booking and participation in our tour packages. By confirming a booking, you agree to the terms outlined below. Please read them carefully.
1. Booking and Payment Terms
- Booking Confirmation: Your booking will be confirmed upon receipt of the required deposit or full payment, as specified at the time of booking.
- Payment Schedule:
- A deposit of 25% of the total tour cost is required at the time of booking.
- The remaining balance must be paid no later than 30 days prior to the tour start date.
- Late Payment: Failure to pay the remaining balance by the due date may result in the cancellation of your booking without refund.
2. Inclusions and Exclusions
- Inclusions: The tour cost includes accommodations, meals (as specified), transportation, sightseeing activities, and any additional services expressly mentioned in the tour package.
- Exclusions: The tour cost does not cover expenses such as:
- Flights (unless specified),
- Personal expenses (laundry, tips, telephone calls, etc.),
- Travel insurance, medical expenses, or any items not specifically listed as included.
3. Travel Documents
- Passport and Visa: It is the responsibility of the traveler to ensure they have a valid passport (with at least six months' validity beyond the return date) and obtain the required visas before traveling.
- Permits: If the tour includes restricted or protected areas (e.g., certain wildlife reserves or border areas), Moksha Tour Planners will assist with obtaining necessary permits, but the responsibility for submitting documentation on time lies with the traveler.
4. Travel Insurance
- We strongly recommend all travelers obtain comprehensive travel insurance to cover cancellations, medical emergencies, baggage loss, and any other unforeseen events. Moksha Tour Planners is not responsible for any costs incurred by travelers who fail to secure appropriate insurance.
5. Health and Fitness Requirements
- Some tours involve physical activities, such as walking, trekking, or visiting remote locations. Travelers must ensure they are in good health and fit for such activities.
- If you have any medical conditions or physical limitations, it is your responsibility to inform us at the time of booking. Moksha Tour Planners may require a doctor’s note certifying that you are fit to travel.
6. Changes to Your Booking
- Amendments by the Traveler: Requests to amend your booking (such as changing the tour dates or destinations) must be made in writing. Changes are subject to availability and may incur additional fees. Major changes (e.g., destination changes) are treated as cancellations and subject to the cancellation policy.
- Changes by Moksha Tour Planners: While we strive to provide all services as confirmed, we reserve the right to make changes to the itinerary or accommodations due to circumstances beyond our control (such as natural disasters, strikes, or supplier issues). In such cases, we will offer alternatives of similar quality or provide a refund for the portion of the trip that was affected.
7. Cancellations
- Cancellation by the Traveler: If you need to cancel your booking, please refer to our Cancellation Policy for detailed information on applicable charges and refunds.
- Cancellation by Moksha Tour Planners: We reserve the right to cancel any tour in cases of force majeure, low bookings, or other unforeseen circumstances. In such cases, you will be offered an alternative tour or a full refund of the tour cost. Moksha Tour Planners is not liable for any additional costs, such as flights, visas, or other services arranged independently by the traveler.
8. Force Majeure
- Moksha Tour Planners is not liable for failure to perform any obligations under these Terms and Conditions due to force majeure events such as natural disasters, pandemics, war, civil unrest, or government regulations. In such cases, we will aim to reschedule the tour or offer an alternative, but refunds may be limited based on the policies of our suppliers.
9. Liability and Responsibility
- Travel Risks: Traveling involves inherent risks, and Moksha Tour Planners is not liable for any loss, injury, or damage sustained during the tour, except in cases of gross negligence on our part. We recommend travelers exercise caution and follow local laws and customs.
- Supplier Responsibility: Moksha Tour Planners works with third-party suppliers (hotels, transport services, guides, etc.) to deliver our tours. While we take every measure to work with reliable partners, we are not responsible for any actions, errors, or omissions by these suppliers.
- Personal Responsibility: Travelers are responsible for ensuring their own safety and well-being during the tour. Moksha Tour Planners is not liable for any personal injuries, losses, or damage to personal belongings during the tour.
10. Group Tours and Conduct
- Group Size: Our group tours typically consist of 10-20 participants, but this may vary depending on the package. Moksha Tour Planners reserves the right to cancel or reschedule a tour if the minimum group size is not met.
- Traveler Conduct: All participants are expected to behave in a respectful and courteous manner toward fellow travelers, guides, and locals. Moksha Tour Planners reserves the right to remove any traveler from the tour if their behavior is deemed inappropriate, disruptive, or unsafe. No refunds will be issued in such cases.
11. Complaints and Dispute Resolution
- If you have a complaint during your tour, please notify your tour guide or a Moksha Tour Planners representative immediately. We will do our best to address and resolve the issue during your trip.
- Any disputes arising from these Terms and Conditions or your tour must be submitted in writing to Moksha Tour Planners within 30 days of the tour’s conclusion. If we cannot resolve the dispute, it will be subject to the laws and jurisdiction of the courts in Bhubaneswar, Odisha.
12. Use of Photos and Testimonials
- By participating in our tours, you agree that Moksha Tour Planners may take photographs or videos during the trip, which may be used for promotional purposes (website, brochures, social media, etc.). If you do not wish to be photographed, please notify us in writing before the tour begins.
- Testimonials provided by travelers may also be used for promotional purposes. You may request to have your name withheld from publication.
13. Data Protection
- Moksha Tour Planners respects your privacy and is committed to protecting your personal information. We collect and process your data in accordance with our Privacy Policy, which outlines how we use, store, and protect your personal information.
14. Special Requests
- Any special requests (such as dietary requirements, room preferences, or specific transport needs) must be communicated at the time of booking. While we will make every effort to accommodate such requests, they cannot be guaranteed and may incur additional charges.
Cancellation Policy
At Moksha Tour Planners, we understand that sometimes unforeseen circumstances can affect your travel plans. To provide clarity and transparency, we have outlined our cancellation policy for all tour packages in India. Please read the following terms carefully before confirming your booking.
1. General Cancellation Charges
The following charges will apply in case of cancellation:
- More than 30 days before the tour start date: 10% of the total tour cost
- Between 15 and 30 days before the tour start date: 25% of the total tour cost
- Between 7 and 14 days before the tour start date: 50% of the total tour cost
- Less than 7 days before the tour start date: 100% of the total tour cost (no refund)
2. Last-Minute Cancellation
- For cancellations made within 48 hours of the tour start date, or in the case of a "No Show," the full tour cost will be forfeited, and no refund will be issued.
3. Refund Process
- Refunds, if applicable, will be processed within 10-15 business days of receiving the cancellation request.
- Refunds will be credited to the original payment method (credit card, bank account, etc.) used during booking.
4. Cancellation by Moksha Tour Planners
- In rare cases where Moksha Tour Planners has to cancel a tour due to circumstances beyond our control (natural disasters, political unrest, insufficient bookings, etc.), the customer will be offered an alternative tour or a full refund.
- Any additional expenses incurred by the traveler (such as visa fees, flight cancellations, etc.) due to such cancellations will not be reimbursed by Moksha Tour Planners.
5. Amendments to Bookings
- Any changes to the booking, such as rescheduling the tour or changing the destination, will be treated as a cancellation and rebooking.
- Rescheduling requests made more than 30 days before the tour start date will incur a 10% rebooking fee.
- No rescheduling is allowed within 7 days of the tour start date.
6. Cancellation Due to COVID-19 or Medical Emergencies
- In case of travel disruptions or cancellations due to health emergencies, such as COVID-19 or other medical issues, travelers are required to provide valid medical documentation.
- We will assess such cases individually and aim to offer partial refunds or travel credits based on the specific situation.
7. Travel Insurance
We highly recommend purchasing comprehensive travel insurance to cover cancellations, medical emergencies, or other unforeseen events. Moksha Tour Planners is not liable for any personal losses, including flights, hotels, or other services booked outside the scope of our tour packages.
8. Force Majeure
In the event of a force majeure (unforeseen events such as war, natural disasters, pandemics, government regulations, strikes, etc.), Moksha Tour Planners reserves the right to cancel or amend the tour package without liability. In such cases, we will offer a full or partial refund based on our suppliers' policies or reschedule your tour without additional charges.
9. Cancellation Requests
- All cancellation requests must be submitted in writing via email to our customer service department at [email address].
- Cancellation requests will only be considered received once you receive a written acknowledgment from Moksha Tour Planners.
Payment Policy
At Moksha Tour Planners, we strive to make your booking and payment process smooth and hassle-free. Please review our payment terms carefully before confirming your reservation.
1. Booking Deposit
- To secure your booking, a deposit of 25% of the total tour package cost is required at the time of booking.
- The deposit is non-refundable unless otherwise specified in our Cancellation Policy.
- Bookings are confirmed only after we receive the deposit payment, along with the necessary personal details (passport information, contact details, etc.).
2. Balance Payment
- The remaining 75% balance of the total tour package cost must be paid in two parts first part - 40% will be paid 7days before arrival and balance 35% during tour.
- For bookings made within 30-7 days of the tour start date, full payment is required at the time of booking.
- Failure to pay the balance by the due date may result in the cancellation of your booking, with applicable cancellation charges applied as per our policy.
3. Accepted Payment Methods
- We accept payments through the following methods:
- Bank Transfer (NEFT/RTGS): Direct transfers to our official bank account. Details will be provided upon request.
- Credit/Debit Cards: Payments can be made securely via Visa, Mastercard, and other major credit cards.
- UPI Payments: Payments through UPI platforms such as Google Pay, PhonePe, etc.
- International Payments: For our international clients, payments can be made through wire transfers or internationally accepted credit/debit cards.
4. Currency
- All payments must be made in Indian Rupees (INR) unless otherwise specified. For international clients, the equivalent amount in your local currency will depend on the exchange rate at the time of payment.
- Please note that any bank charges or conversion fees will be borne by the traveler.
5. Late Payments
- In case of late payments, we reserve the right to cancel your booking and apply the applicable cancellation fees.
- If you anticipate any delays in payment, please inform us in advance to discuss possible extensions or alternative arrangements.
6. Refunds and Cancellations
- For information regarding refunds due to cancellations, please refer to our Cancellation Policy.
- Refunds, if applicable, will be processed within 10-15 business days after receiving the cancellation request and will be credited to the original payment method.
7. Partial Payments for Group Bookings
- For group bookings of 10 or more participants, we offer a flexible payment schedule, where partial payments can be made in installments.
- A 25% deposit is still required at the time of booking, with the balance paid in installments leading up to 30 days before the tour start date. Please contact us for more details on group payment options.
8. Security Deposit for Special Packages
- For certain high-demand or customized packages, a security deposit may be required to confirm hotel bookings, transport services, or special arrangements. This will be communicated at the time of booking.
- The security deposit is fully refundable after the tour completion, provided no additional charges were incurred for extra services or damages.
9. Third-Party Payment Fees
- Any charges incurred due to payment via third-party services (e.g., PayPal fees, international wire transfer fees, etc.) are the responsibility of the traveler.
- We recommend confirming with your bank or payment service provider about any additional fees before making the payment.
10. Payment Confirmation
- After receiving your payment, we will issue a payment receipt via email as confirmation.
- Your booking is not confirmed until you receive this receipt. If you do not receive a confirmation within 24 hours of making a payment, please contact us immediately.
